1. Vendor Inventory

  • □ List all vendors processing or accessing company data
  • □ Classify vendors by criticality: critical / high / medium / low

  • □ Document vendor owner (who in company works with this vendor)

2. Security Questionnaire

  • □ Send security questionnaire when onboarding new vendor

  • □ Request SOC 2 report or ISO 27001 certificate if vendor is critical
  • □ Evaluate questionnaire responses, pass / conditional pass / fail

3. Vendor Risk Assessment

  • □ Assess inherent risk: data sensitivity × vendor access level
  • □ Assess vendor security posture from questionnaire and certifications
  • □ Calculate residual risk after vendor controls
  • □ Document risk acceptance or require vendor remediation

4. Vendor Agreements (Contracts)

  • □ Security requirements in contract: confidentiality, data protection, incident notification
  • □ Data Processing Agreement (DPA) if vendor processes personal data (GDPR/PDPD)
  • □ Business Associate Agreement (BAA) if vendor accesses PHI (HIPAA)
  • □ Right to audit clause, right to audit vendor when needed
  • □ Breach notification timeline, how quickly vendor must notify of breach

5. Ongoing Monitoring

  • □ Re-assess vendor security annually or when major changes occur
  • □ Track vendor certification expiry: SOC 2 report 1 year, ISO 27001 cert 3 years
  • □ Monitor vendor incidents, any breaches occurred?
  • □ Offboard vendor checklist when ceasing use: delete data, revoke access
